Process

Defined milestones.
Visible progress.

Choose the services your project needs. VortaniX Technologies structures the work into agreed milestones, each with a scope, deadline, deliverables and a corresponding partial payment.

01

Initial discussion

Start with your idea, the current state of the project and the help you need. Together, we identify the relevant services, expected outcome and initial constraints. A non-confidential overview is enough for this first conversation.

02

NDA, if you need one

At your discretion, we sign a non-disclosure agreement before exchanging confidential technical information. The project can then be discussed in the detail needed to define the work.

03

Requirements, deliverables & milestones

Based on your selected service package, we agree the technical requirements, responsibilities, deliverables, review and acceptance criteria, and the project milestones. Each milestone has a schedule and an associated payment amount or share of the project fee.

04

Concept & architecture

Where included, development begins with the block schematic, key interfaces and power architecture. The concept is reviewed with you before it becomes the basis for detailed design.

05

Schematics & PCB

Detailed schematics, key-block calculations and simulations, and PCB layout progress through the agreed milestones. VortaniX Technologies uses its own custom component libraries for these projects. Firmware can progress alongside the hardware where appropriate.

06

Design review & production

Checklist-based review precedes the agreed manufacturing release. Production support covers supplier communication, working-file review and engineering queries, with proposed changes coordinated before implementation.

07

Prototype bring-up & testing

The prototype is powered up and tested against the agreed procedure. For a complete VortaniX Technologies development, we write the procedure, define pass criteria and execute the tests. For a partial development, a clearly documented procedure must be available before testing starts.

08

Milestone handover & payment

At each completed milestone, you receive the agreed deliverables for review and acceptance, and VortaniX Technologies receives the corresponding partial payment under the agreed terms. Results and open issues are recorded before the next stage. This handover repeats throughout the project, not just at its end.

The sequence is adapted to your service package. A focused PCB or review assignment does not require commissioning every stage. Procurement, manufacturing lead times and customer reviews are included in schedule planning. Custom Altium Libraries is a standalone service for client-owned libraries, not a mandatory stage of device development.

Deliverables and payment at every milestone

Each completed milestone leads to a defined handover and its corresponding partial payment. The deliverables, acceptance conditions, amount and payment timing are agreed in advance. If the scope changes, we agree the effect on the remaining milestones, schedule and cost before proceeding.

Working arrangements

Libraries used in VortaniX Technologies projects

Hardware projects undertaken by VortaniX Technologies use custom component libraries developed and owned by VortaniX Technologies. Symbols, footprints and manufacturing-related details are checked to support correct PCB fabrication, component assembly and soldering. These libraries remain the property of VortaniX Technologies; their use in a project does not transfer ownership. Standalone maintenance of a client’s own Altium libraries is a separate service.

Manufacturing is paid directly by the client

The client bears the costs of bare PCB fabrication and populated PCB production, including components and assembly. The client pays the relevant manufacturer or supplier directly; these transactions do not pass through VortaniX Technologies. VXT’s engineering and production-support fees are agreed separately from manufacturing costs.

Documented physical hardware handover

VortaniX Technologies receives and releases physical hardware only against a handover and acceptance protocol signed by both parties. Every incoming and outgoing handover is documented, including the items, quantities, condition and accessories, the date and the parties involved. This applies to prototypes, bare and assembled boards, and other hardware provided for development or testing.

Frequently asked questions
Do I need to commission the entire development from VXT?

No. You can commission a specific service or a combination of services, from concept and schematic design to PCB layout, review, production support and testing. The scope is adapted to your project and the work already completed.

How do milestones and payments work?

Each milestone has an agreed scope, deliverables, acceptance criteria, deadline and payment terms. Any advance and final payments are specified in the quotation. The final milestone package is delivered after technical review, acceptance and receipt of the due payment.

What happens if a milestone is delayed?

If we identify a risk to the deadline, we notify you as early as possible, explain the cause and propose a revised schedule. We also clarify the impact on subsequent milestones. Changes in requirements, delayed feedback, procurement or manufacturing may require schedule revisions. Any additional provisions for delays are agreed in advance.

How are project files exchanged and delivered?

Before final handover, you receive review materials or participate in a joint technical review that allows you to check the agreed results. Final editable and manufacturing files for the milestone are provided after acceptance and receipt of the due payment. The transfer channel, formats and package contents are agreed in advance.

Can I stop the project after a milestone?

Yes. You can conclude the engagement after a completed and paid milestone and retain its agreed deliverables. Termination is communicated in writing before the next stage begins. If the next stage has already started, work performed and previously approved expenses are settled under the agreed terms.

What happens if I change the requirements during the project?

We assess how the change affects the design, schedule, price and completed stages. We propose an updated scope and proceed with it after written agreement. This makes the additional work and associated costs clear in advance.

How are deliverables accepted, and what if corrections are needed?

Each milestone is reviewed against the agreed requirements and acceptance criteria. You provide consolidated feedback within the agreed review period. Corrections of deviations from the agreed scope are part of that milestone. New functions or changed requirements are assessed as a scope change.

Which files do I receive, and can another engineer continue the project?

You receive the agreed project files, including editable schematic and PCB documents where included in the scope. Another engineer can open and modify the project. Standalone component libraries developed and owned by VortaniX Technologies are not included in the handover. Components used in the project remain in the corresponding design documents.

How is physical hardware handed over?

VXT receives and releases physical hardware only against a handover and acceptance protocol signed by both parties. It records the items, quantities, condition and accompanying accessories. Delivery arrangements and transport costs are agreed in advance.

Can my project be shown publicly?

Confidential files, photographs and technical details of a client project are published only with the client’s explicit written permission. Commissioning work from VXT does not in itself constitute consent to inclusion in a portfolio.
